Terms of Service

Our terms and conditions outline the rules and regulations for using SBTC’s services.

1 Purchase & Registration Policy

Study Break’s purchase registration policy outlines the terms and conditions under which students, clients can enroll in tutoring services, purchase of membership, and any purchases made at Study Break Cafe. This policy ensures that Study Break and its clients have a clear understanding of their rights and responsibilities regarding payments, scheduling, cancellations, and other important aspects of the service.

2. Payment Structure

All services offered by Study Break Cafe must be prepaid. Clients are required to pay in full for any selected service or package at the time of registration. This includes any initial deposit or partial payment, which is also non-refundable. The hours/classes purchased must be rendered within the timeframe of the session purchased and cannot be postponed/credited towards future classes. Services and Memberships cannot be transferred to family members or friends.

3. Authorization for Charges

By agreeing to Study Break Café’s terms and conditions, clients must authorize the tutoring center to charge their credit card for the total amount due upon signing up for services. The center will only accept payments via online registration, and it is mandatory for clients to keep a valid credit card on file at all times for all the reoccurring billing.

4. Billing Cycle

Study Break Café’s billing cycle operates from the 1st to the end of each month (30th or 31st). Clients will receive a billing statement upon request. All projected services will be charged at the beginning of each cycle, and any additional services requested beyond what was initially projected must also be paid in full before they are rendered.

5. Tuition Payment

Study Break Café’s Tuition fees must be paid in full or through an arranged payment plan (if applicable) at least 30 days before the start of the course. Full payment is required for participation in programs.

6. Cancellation Policy:

No refunds will be issued for classes, sessions or memberships purchased; no refunds will be issued for any reason.

7. Makeup Session

Makeup sessions are often available for missed group classes, except for certain short-term courses (like six-week summer programs). Homework and class materials may also be provided if a student is absent.

8. Private Tutoring Cancellation

For private tutoring sessions, if an appointment is canceled within 24 hours or if there is a no-show, the center may charge for one hour of tutoring at the normal rate/it will count as a class rendered.

9. Additional Terms

If a student is deemed inappropriate for the program by Study Break Café instructors , they may not continue with their classes; however, a prorated refund will be issued for unused sessions within ten business days. Additionally, if a class needs to be canceled or rescheduled due to unforeseen circumstances, efforts will be made to provide comparable alternatives or issue prorated refunds. In summary, tutoring centers have structured policies regarding registration fees, tuition payments, cancellation timelines for refunds, and provisions for makeup sessions that ensure clarity and fairness in their operations.

10. Cancellation and Rescheduling Policy

Clients must adhere to a strict 24-hour cancellation policy. If a client needs to cancel or reschedule a session, they must provide at least 24 hours’ notice; otherwise, they will be billed for the entire session amount. If proper notice is given, clients can apply their payment towards a future session.

11. Late Arrivals

Students are responsible for arriving on time for scheduled sessions. If a student arrives late, this will reduce the duration of their session accordingly, as tutors are only required to stay for the remaining scheduled time after waiting a maximum of 15 minutes.

12. Any Products purchased at Study Break Café are final and not refundable.
13. Membership cancellations

Study Break Café’s Membership cancellations require a full month of notice, e.g. if you decide to cancel your membership on October 15th, your membership will be cancelled starting at the beginning of December and you will be billed for the full month of November.

Consent Statement

I am the parent/guardian of the student in this enrollment and I give permission for my child, to participate in all tutoring sessions, membership activities, at Study Break Café. I understand that these sessions may include academic instruction and other educational and social activities.

Liability Waiver

I acknowledge that participation in tutoring and other activities offered by Study Break Cafe involves certain risks, and I agree to hold Study Break Cafe harmless from any claims or injuries arising out of my child’s participation. I agree that I will communicate with Study Break Café if there are any specific needs that my child has.

Medical Information, Allergies, Medical Emergencies

As a parent/guardian I am responsible for providing any relevant medical information that might be necessary during tutoring sessions and other activities provided by Study Break Cafe, such as allergies or special needs. I understand that Study Break will be held harmless from any claims arising from any medical emergencies. I will not hold Study Break Café responsible for what my child is allowed to eat, drink, or for any purchases made by my child while at Study Break Café.

Consent Statement for Medical Emergencies

I, the undersigned, hereby give my consent for my child, to participate in tutoring sessions and all activities provided by Study Break Cafe. In the event of a medical emergency where my child requires immediate medical attention, I authorize the staff of Study Break Café to seek and obtain necessary medical treatment on behalf of my child. I understand that every effort will be made to contact me or the emergency contact listed above prior to seeking such treatment. However, if I cannot be reached, I give permission for medical personnel to administer treatment as deemed necessary.

Release of Liability:

I acknowledge that I am aware of the risks associated with participation in tutoring activities and agree not to hold Study Break Café and its employees, or agents liable for any injuries sustained during these activities.

Photography/Video Release

I grant permission for Study Break Café to use photographs/videos of my child for marketing and promotional materials.

Drug-Free Policy Enforcement

Enforcement of drug-free and safe environment for students at Study Break Café is one of our top priorities.

  • Prohibition of Substance Use: no illegal drugs, tobacco, vapes, marijuana or alcohol are strictly prohibited on premises, or it’s vicinity. This includes both consumption and possession.

  • Awareness and Education: Tutors can play an essential role in educating students about the risks associated with substance use. Providing information on the health impacts of drugs and alcohol can help reinforce the importance of maintaining a drug-free environment.

  • Reporting Violations: Any suspected violations will be reported to the parents and guardians, appropriate authorities or management within the Study Break Cafe organization.

  • Consequences for Violations: Consequences for violating drug-free policies at Study Break Cafe may include disciplinary actions such as expulsion from the program, notification of parents, or even legal repercussions depending on the severity of the violation (e.g., possession of illegal substances). It is essential for SBC tutors to communicate these potential consequences clearly to students at the outset.

Support Resources

Study Break Café will do best also provide access to support resources for students struggling with substance abuse issues. This might include referrals to counseling services or educational programs focused on substance abuse prevention.

Prohibition of Weapons

According to Virginia law, it is illegal to carry a firearm into public or private elementary, middle, or high schools. This prohibition extends to any educational facility where tutoring occurs. Even if the tutoring takes place outside of regular school hours, the same restrictions apply. In Virginia, the possession of firearms and other weapons on educational property, including tutoring locations, is governed by specific laws and regulations. Consequences for Violating Prohibitions: Individuals found in violation of these prohibitions may face serious consequences. If someone is reported or discovered to possess a firearm at Study Break Café or vicinity, they will be asked to remove it immediately. Failure to comply could lead to disciplinary actions for students or employees and potential arrest for others.
